How does Viva Credit hire new employees 3 times faster with eHR

In a conversation with Tsenka Moyanova – Head of Administration, Internal Processes and Policies, and Nevena Ilieva – Recruitment and Employee Motivation Manager at Viva Credit, we learned a lot about their experience before and after using the eHR system. Here is what they share, at first hand, about the work process in their department and the changes after the implementation of the electronic employee file system.

Viva Credit is a market leader with more than 10 years of experience in consumer lending and part of Management Financial Group (MFG) – the biggest Bulgarian company in the field of non-banking financial services in Central and Eastern Europe. Among their services are consumer credits, small business financing, credit cards, digital business, and other alternative financial models. The company has over 65 financial centers and a partner network with more than 230 locations across Bulgaria.

Why did you decide to search for a solution like eHR?

In support of innovation, we were looking for something that would make the work of our department easier. We learned about eHR during a company meeting, on the recommendation of our investors. After requesting a demo and going through the process step by step, we are now using the eHR system.

Why did you choose our product?

Did you have any concerns?

At the beginning, we were concerned about the legal aspects and whether everything was in compliance with the regulations and would pass the inspections. We had many meetings related to security, in order to ensure that everything is fully compliant. For us, as a financial institution, it is crucial to work with maximum security, to control documents access, ensure proper storage, and maintain legal compliance.

Initially, due to lack of experience, we had to familiarize ourselves in detail with the system workflow, in terms of legal compliance. I believe that for the companies in the holding group which are joining now, it is much easier to trust and work with eHR.

How has your work changed since using eHR?

Given the fact we have employees at different locations across Bulgaria, the system usage has significantly helped to make the document exchange process easier. Creating, signing, and sending documents electronically through eHR is 5 to 20 times faster compared to the same process on paper.

Before we started using the system, the process was:

We print out the hiring documents, sign them, collect them, request a courier, and send them to the employee. The next day, the documents would arrive to the employee. The courier waits for them to be signed, and then brings them back to us. In the best-case scenario, this process takes two business days, but sometimes it could be delayed, making the hiring process more difficult.

The documents must be signed before the employee start date, and there are cases where, after the documents are returned, we notice mistakes or discrepancies, and we have to repeat the entire process. This causes significant delays, leading to date corrections on the employment documents. It creates additional work for both us and the administration department.

Have you had a situation with an employee hiring or termination, where the eHR system simplified your work?

Yes, especially through the Electronic Delivery functionality. This allows us to serve termination documents to an employee without the need for them to be signed. Thanks to the receipts in the system, we can prove whether and when the employee has received the documents.

Another process that has been facilitated by the eHR system, is Order delivering for changes in conditions, such as meal vouchers or training. Through the receipts, we receive specific information, for example, that 198 out of 200 people have received and read the order, meaning they are aware of the changes.

Would you like to share anything else?

We had several Labor inspections and we haven’t faced any issues related to the digital document storage system. When necessary, the documents for a certain employee can be downloaded from the system. Our initial concerns were whether this institution had dealt with electronic employee files before, but so far, we have had no problems.

It’s great that the system has receipts as well. Although they are not required by the institutions, our legal advisors often request them.
