How RobertShaw Saves 5 Working Days a Month with eHR

RobertShaw is an international manufacturing company with a history of more than 125 years and operations spanning several continents. The company develops gas, temperature and ignition control solutions that are widely used in cooking, heating and refrigeration appliances, as well as in other industrial applications. Denis Toteva, RobertShaw’s HR Expert for Bulgaria, tells eHR exclusively how digitalizing HR processes has changed the team’s work.

Why did you decide to look for a solution like eHR?

We decided to look for a solution like eHR to digitalize and optimize the HR processes in our company. Introducing eHR lets us reduce the administrative burden, cut down on paper documents, improve access to information and control over data, and increase the transparency and efficiency of HR activities in the long run.

What were the reasons for choosing our product in particular?

There were several reasons for choosing your product. First of all, the competitive price compared to the other solutions we considered. Another important advantage for us was the option to use an advanced electronic signature (AES) instead of a qualified electronic signature (QES), which simplifies the processes and makes things easier for users.

RobertShaw is a large manufacturer – what challenges did you face, and how did eHR help you overcome them?

As a large manufacturing company, our main challenges were related to the initial implementation of the eHR system – creating profiles for all employees and helping them adapt to the new way of working. At first, some employees needed extra support when requesting time off, which required more active assistance from the HR team. Over time, thanks to the system’s intuitive interface and targeted support, employees quickly got used to the processes and started using eHR on their own.

Besides you as the HR team, the system is actively used by people at every level of RobertShaw – what is their feedback?

Feedback from users at all levels of the company has been entirely positive. Managers value how easily they can approve leave, as well as their access to various reports and an overview of their teams’ absences. For employees, the system is intuitive and convenient – they can quickly request leave and see their colleagues’ planned absences. New hires have responded especially well, as there is far less need to sign a large volume of paper documents and visit the office in person. The entire document workflow is fast, clear and easy to track, and the digital archive gives every employee access to their own documents at any time.

Could you give a rough estimate of how much time you save on average per month using eHR – in the HR department, for team leaders, for employees and, of course, for the general manager 🙂

Although it is hard to give a completely accurate figure, we can confidently say that the time saved is significant at every level of the company. For the HR department, it amounts to roughly 5 working days a month, thanks to automated processes and the elimination of manual document handling. For team leaders, eHR saves time through faster leave approvals and easy access to absence reports, which reduces the need for extra communication and checks. Employees, in turn, save time because they can request absences quickly and independently, track their status and access their documents without visiting the HR office.

What is your favorite feature?

And to add to that – which process are you happiest to have digitalized?

We’re happiest about digitalizing how we manage and process leave. Before, it required entirely manual work with a large volume of paper documents – sorting them alphabetically, entering them by hand into Form 76 (the attendance record), then sorting them by date to issue orders, entering them in an electronic absence register and, finally, filing them by employment contract number in the employees’ paper files. During peak months such as August and December, when we process between 500 and 600 leave requests – compared with an average of 250–300 a month the rest of the year – this process was extremely time-consuming and prone to errors.

What did you invest the time saved with eHR in?

We invested the time saved with eHR in more productive work and in optimizing other processes in the Human Resources department. This has allowed us to focus more on value-adding activities, improving internal processes and providing a better service to employees and the business.
